TL;DR

Pronto Software is both a ProSpend integration partner and a ProSpend customer. This is the partnership side of the story.

Pronto Software partners with ProSpend to bring automated expense management to Pronto customers, and it runs its own expenses on ProSpend too. ProSpend captures, codes and approves expense claims before the approved data reaches Pronto. At Pronto Summit 2026 in Sydney, Pronto Software’s leaders explained why ProSpend is the right fit.

What is the Pronto Software and ProSpend partnership?

Pronto Software, the Australian developer of the Pronto ERP, partners with ProSpend to connect expense management directly to Pronto through the ProSpend Pronto Xi integration.

Pronto Software is also a ProSpend customer, using ProSpend in its own business.

Who is this guide for?

This guide is for CFOs, Finance Directors, Financial Controllers and Finance Managers at businesses running Pronto Xi.

It is most relevant if your team is still managing:

  • Excel or paper expense forms
  • Approvals that move by email, printout and signature
  • Claims that stall when an approver is away
  • Expense data re-keyed into Pronto

Pronto Software worked this way before ProSpend. Chad Gates, Managing Director of Pronto Software, describes an Excel form that was emailed, printed, signed and emailed back as “a nightmare”.

Why did Pronto Software choose ProSpend?

When Pronto Software went to market for an expense management system, it looked at local and international options. Two tests mattered: the product had to meet its requirements at the right price, and the company had to fit Pronto Software’s culture and clients.

"We looked not only locally, but also internationally about who would fit our requirements, but also us as a business. There's a monetary aspect to it, but also we wanted a really good cultural fit with Pronto, who Pronto is and also who our clients are."

ProSpend “ticked all the boxes”, with extra features the team could grow into.

For Chad, shared values were the deciding factor. Both are Australian software companies built on personal ownership and a close understanding of their customers.

"We felt like we had a better relationship one-on-one with ProSpend than we had with looking at the other platforms that are made by faceless entities overseas."

What does the partnership mean for Pronto Software customers?

Pronto Software sees the same value for its customers that it gets in its own business.

“We saw a huge opportunity to use it not only internally, but also with our customers as well.”

The relationship is practical. When Pronto Software has a question, support issue or enhancement request, it gets an answer and moves on. As Mark puts it, “we don’t have to jump through a lot of red tape to get things done.”

How do Pronto Xi and ProSpend work together?

Pronto Xi remains the system of record. ProSpend controls how expense claims are captured, coded and approved before they reach the ledger.

Finance requirement Pronto Xi's role ProSpend's role
Expense claims Records approved expense transactions Captures receipts, applies coding and routes claims for approval
Card spend Records approved card transactions Captures receipts and coding for card transactions, and issues controlled virtual cards
Travel spend Records approved travel costs Travel claims are captured, coded and approved in ProSpend before export, where they appear under Parked Invoices Console in Pronto Xi.
Project coding Holds projects and project groups Syncs projects and project groups (cost categories) directly from Pronto Xi so spend is coded to the right project structure before export.
Approvals Receives transactions once approved Applies approval workflows, including delegation when a manager is on leave
Audit trail Maintains accounting records Links each exported transaction back to its receipt and approval history

What does the workflow look like?

  1. Capture: staff snap a receipt on their phone, wherever they are
  2. Code: ProSpend applies coding, including projects synced from Pronto Xi
  3. Approve: the claim is routed for approval, and approvers sign off from any device
  4. Export: approved data moves into Pronto Xi through a one-click API (version 740 and above, and Pronto Xi) or standard file export (earlier versions)
  5. Audit: every exported transaction links back to ProSpend for the receipt and approval history

What does Pronto Software recommend?

When asked whether he would recommend ProSpend, Chad didn't hesitate.

"No-brainer. If you're doing expense management, travel management, all that sort of stuff... If you're doing it by paper or the old-fashioned way, you're just nuts. You have to do it this way."
